1. Who We Are

SentioPulse is a trading name of Futura Cloud Consulting, registered in England and Wales (Company No: 15990197). Registered Address: Gordon House, Bridge Close, Woking, Surrey, GU21 4PD, United Kingdom.

For data protection purposes, your organisation is the Data Controller of employee survey responses. Futura Cloud Consulting acts as a Data Processor on your organisation's behalf.

2. What Data We Collect

  • Account Data: Name, email, company name, billing address (collected during registration).
  • Employee Directory Data: Name, email, department, manager (synced from your identity provider or uploaded via CSV).
  • Survey Responses: Pulse scores and optional comments submitted by employees, linked to their staff record within your organisation.
  • Usage Data: IP address, browser type, pages visited, and feature usage for analytics and security.

3. How We Use Your Data

  • To operate and improve the SentioPulse service.
  • To generate reports for managers, including individual and aggregated views.
  • To send transactional emails (survey invites, password resets, billing receipts).
  • To detect and prevent fraud or security threats.

We never sell your data to third parties. We do not use employee survey responses for advertising.

4. Data Retention & The Vault

Survey data is retained for as long as your subscription is active. If your subscription lapses, data enters our secure "Vault" for up to 12 months. During this time, new surveys continue but dashboard access is paused. Reactivating your subscription restores full access. After 12 months of inactivity, data is permanently deleted.

5. Data Security

  • All data is encrypted in transit (TLS 1.3) and at rest (AES-256).
  • Hosted on Vercel and MongoDB Atlas within UK South / EU regions.
  • Regular security audits and penetration testing.
  • Optional MFA for administrator accounts.

6. Your Rights (UK GDPR)

You have the right to:

  • Access: Request a copy of your personal data.
  • Rectification: Correct inaccurate data.
  • Erasure: Request deletion (subject to legal obligations).
  • Portability: Receive your data in a machine-readable format.
  • Object: Object to processing for certain purposes.

7. Cookies

We use essential cookies only for authentication and session management. We do not use third-party advertising or tracking cookies. Analytics are processed in aggregate form.

8. Changes to This Policy

We may update this policy from time to time. We will notify account administrators of material changes via email.
